Language Service Providers with Statewide Contracts
The State of Vermont has established contracts with several vendors for a variety of language services. The types of language services and key details and contacts for these contracts are outlined below.

In-Person (On-Site) Interpretation
In-person interpreting is when the interpreter is with you on-site. The interpreter is tasked with interpreting what’s being said during the live event. Below are Statewide Contracts for In-Person Interpretation Services.

U.S. Committee for Refugees and Immigrants – Vermont Field Office (USCRI) - Contract #42925
Service Details
- Rate for On-site Interpretation: $60 per hour, 1-hour minimum, and 15-minute increments thereafter. There is no after-hours or weekend surcharge.
- Mileage: $0.50 per mile for round-trip travel that exceeds 25 miles.
- Travel Charge: $1.00 per mile for travel time that exceeds 1 hour round trip.
- Cancellation Fee: If the appointment is canceled by the provider or client with less than 24 business hours' notice.
- Reminder Fee: Reminder call to client to confirm appt. is available for $15 per call
- Lead Time: Ideally provide at least 4 days’ notice.
- Emergency Requests: USCRI will try to accommodate emergency requests with no additional charge.
- Billing: USCRI bills the specific agency/department. The state agency or department pays USCRI.

Association of Africans Living in Vermont (AALV) - Contract #41168
Service Details
- Rate: The base rate is $55 an hour; 15-minute minimum charge, then the charge is for 15-minute increments. There is no surcharge for after-hours, weekends, or holidays.
- Mileage: No charge for the first 20 miles, state mileage rates are used thereafter.
- Cancellation Fee: No charge for cancellations with at least 24 hours’ notice; one hour charge for less than 24 hours’ notice.
- Reminder Call: A telephone call to the client to confirm the appointment is available for $5 per appt. $30 charge for setting up and coordinating appointments with clients.
- Lead time: At least 5 working days’ notice is required for guaranteed service; AALV will try to satisfy requests with less notice.
- Emergency requests: USCRI will try to accommodate emergency requests with no additional charge
- Billing: AALV will bill the agency/department. The state agency or department pays AALV.

Telephone Interpretation
Telephone interpreting connects an interpreter to people who want to talk with one another over the phone but don’t share a common language. Below are Statewide Contracts for Telephone Interpretation Services.

- Additional details: This contractor can also provide a free user’s guide and language identification card- electronic or hard copies if requested and translate health and medical technical terms.

American Sign Language (ASL)
This category provides services to all Vermonters in need of sign language interpreters to allow meetings, appointments, functions, etc. to be accessible to individuals who are Deaf or Hard of Hearing and utilize sign language as a primary means of communication. In addition, this service category provides information and technical assistance to the public concerning communication access for persons who are Deaf or Hard of Hearing of DeafBlind and conducts community education and outreach in Vermont to promote the use of interpreters. This would include outreach and education for Vermont employers, medical providers, legal services, and the general public. Below are Statewide Contracts for American Sign Language (ASL) Services.

Vancro, Inc. - Contract #41414
Service Details
- Rates: Between $35-65/hr.
- Includes: ASL interpreting services in person and/or video remote interpreting methods.
- Travel Time: Portal to portal in addition to a two-hour minimum. The interpreter will bill for the rate per hour from time leaving home to time returning home.
- Cancellation Policy: Interpreters may bill for assignments, including travel time, that are canceled unless there is 2 business days’ notice.
- Inclement Weather Policy: If the State of Vermont closes due to weather, the interpreter may not bill.
- Retainer Fees: Retainer fees may be charged when booking interpreter(s) in advance for conferences, standing staff meetings, and training events. Maximum for retainer fees: A. All-day assignments (4 hours or more) $50/day B. Half-day or less (up to 4 hours) $25/day.
